Privacy notice

By contacting the Young Essex Assembly (YEA) or applying to become a candidate in the YEA you (and your parents if aged under 18) are consenting to Essex County Council (ECC) collecting your personal information as outlined below.

What personal information we collect:

  • Name
  • Contact telephone number(s)
  • Email address

We need these to respond to your query.

If applying to become a candidate we will also collect:

  • Date of birth
  • Address
  • Emergency contact person's name, address and telephone number
  • Medical information
  • Any personal requirements
  • Photo (if successfully elected as a candidate).

Why we collect your personal information

Your personal contact information (name, date of birth, address, contact telephone numbers and email address) will be used to stay in touch with you throughout your application and term of representation (if successful).

Emergency contact details, medical information and personal requirements will be collected for any days or events where your parents or guardians are not present.

How we use your personal information

Your personal information will not be shared with any other third party unless the law says we must. Within ECC your information will only be shared with staff working on this project. If you’re successfully elected, your name, photo and local district will also appear on ECC's public website.

YEA may use your data in reporting and analysis to help improve our service.

Photos and video recordings may be taken at public events you attend. If you are identifiable, your consent will be asked for before publishing these online.

How we secure your personal information

Your data will be stored within a secure area of the ECC network. Appropriate steps have been put in place to ensure its protection such as encryption, access controls and staff training. Any paper copies will be stored in a restricted office within a secure filing cabinet; paper copies will only be accessed by relevant members of staff. Your rights and how long we store your personal information

Basic contact information from our contact form such as your name, contact telephone number(s) and e-mail address will be retained for one year from your last contact. If you have applied to become a candidate your personal information will be retained by YEA until your 22nd birthday unless you opt out upon ceasing the service/programme. We may retain your name, elected date, represented constituency and term duration for historical purposes. Alternatively you can also exercise your rights under the Data Protection Act 1998 (DPA) below. Upon any of these conditions your personal information will be destroyed in a secure manner.

Under DPA you have a number of rights which include finding out what personal information we hold about you, request to change/correct any data we hold on you, request we delete your personal information (although this would mean we cannot provide a further service) or express any concerns with how we’re using your personal data.
